Create / Update Quotations

A Quotation is a loose generated receipt or a document containing the proposed pricing details of goods and services that a seller submits to a potential buyer.


Please Note
This functionality is available only for users who have Retail Pack activated.

Create New Quotation

This module enables you to create and send quotations to your potential customers.


1. From the Homepage, click on Orders.

2. From the Orders landing page, click on Create Orders.

3. Click on Advanced Billing.

4. Click on Sales Quotation.

5. A create Quotation page gets displayed. Click on Add Customer.

6. Enter the customer name or select the customer from the drop-down list.

7. Edit the customer’s details if you wish, and click on Continue.

8. You can also add an address for a customer. Click on Add Address.

9. Either select an existing address or create a new address and click on Continue.

The customer information and their address details get displayed in the customer field region. You can edit the customer details whenever you are drafting your quotations.

10. Enter the product or service in the given modal or choose from the drop-down list while typing for a product.

11. To add a new or custom product, enter a product name and click on Create New Product.

12. Enter the product details and click on Save.

13. If you want to add a note and identification number regarding each and every item that you have ordered, then you can click on Add Product Notes and Add / Edit IMEI or Serial No. respectively.

14. If you want to add a note regarding an order created, enter the details under the Order note field.

15. Click on Save & Send > Send, if you want to send the quotation immediately to the customer.

16. If you want to save the quotation that you have created but do not want to send the details to the customer yet, then click on Save.


Please Note
This feature is currently unavailable on mobile. You can create quotations only through a computer.

Update Quotations

This module allows you to view all the quotations that you have created. It enables you to convert a quotation into an invoice, once your potential customer decides to buy or avail goods or services from you.


1. From the Homepage, click on Orders.

2. From the Orders landing page, click on View Quotations.

The Quotation page gets displayed with the following details:

  • Quotation Details: Displays the order number and date and time of the quotation created.
  • Customers: Displays the customer’s name, contact details, and customer id.
  • Quotation Value: Displays the total cost of the quotation.
  • Quotation Status: Displays the status of the quotation.

 

What are the Different types of Quotation Status? What do they mean?

The different quotation status are as follows:
Created: The Quotation has been created by the seller but has not yet sent the details to the customer.

Sent: The Quotation has been sent to the customer by SMS or email.

Closed: If the Quotation has been converted into an Invoice then the seller closes the Quotation.

3. To send a quotation to a customer, click on Send Quotation > view the mobile number and enter the email address if necessary > click on Send.

4. To convert a quotation into an invoice, click on Convert To Invoice.

An Invoice page gets displayed. Enter the details and click on Create Invoice.

5. To view the quotation details of a customer, click on a quotation.

The following page gets displayed:

  1. Enables you to send quotation details to a customer by SMS or email.
  2. Enables you to print the quotation receipt.
  3. Enables you to edit the quotation details.
  4. Provides you the option to delete a quotation.
  5. Enables you to close a quotation, once the order has been delivered to the customer.
  6. Enables you to convert a quotation into an invoice.
  7. Enables you to add identification or serial number to each and every product in the quotation.
  8. Enables you to add a note regarding an order created, under the Order note field.

Please Note
This feature is currently unavailable on mobile. You can update quotations only through the computer.
